Position Purpose

The Campus Visit Coordinator (CVC) is responsible to schedule and coordinate prospective student events including personal visits, group visits, Preview Days, NCU Days, Summer Orientation days, and other visit events. In addition, the CVC is responsible to greet and serve those requesting information from the Admissions Office, greet campus visitors, process information inquiries to the university, and process mail and email communications. In addition to these responsibilities, the CVC supports the office with any additional requested tasks.

Responsibilities include but are not limited to:

80%   Schedule and coordinate campus visits for prospective students

  • Answer requests for campus visits
  • Schedule and communicate with Admissions counselors and appropriate departments for requested meetings for prospective students
  • Prepare all materials for each visit
  • Schedule overnight guests with student hosts
  • Prepare appropriate information with Security for guests arriving after hours.
  • Plan and execute visit events, on campus and online including but not limited to: personal daily campus visits, group daily campus visits, Preview Days, NCU Days, and Summer Orientation
  • Provide reporting on all visits and visit events
  • Keep financial records of all visit costs

20%     Support Office Functions

  • Maintain office inventory with assistance from the Graduate Assistant and Admissions Coordinator.
  • Serve as department receptionist. Greet people who physically enter the office and either serve them personally or notify the appropriate person they should meet
  • Answer phone calls on the admissions and financial aid hotline and either personally answer questions or transfer the call to the appropriate office or person
  • Manage the main Admissions email account and forward e-mails to appropriate Admissions team member
  • Provide front desk coverage when necessary
  • Maintain order, neatness, and beauty in the office to create a warm and welcoming atmosphere for all of our guests.
  • Launder tablecloths as needed
  • Input prospective student data acquired from various sources, including online or over the phone, into Salesforce.
  • Utilize Salesforce, Outlook, and Mogli for external and internal communication.
  • Be able to utilize Admissions use of NCU’s Meeting Room Manager reservation software
  • Work with the Admissions Coordinator to keep office supplies stocked and order supplies as needed for the Admissions Office.
  • Create and update guest information packets.
  • Responsible for copying, filing, faxing as needed.
  • Update processes through Teams
  • Follow directions from and help with other tasks and projects as assigned by the Director and Associate Directors of Admissions

Job Qualifications

Minimum Education and experience

  • A Bachelor’s Degree is required, preferably from North Central University
  • Must have a personal relationship with Jesus Christ and be willing to live within the lifestyle statement of the University.
  • Previous sales and/or customer service experience
  • Bilingual Spanish skills preferred
  • Must be able to work occasional nights and weekends
  • Must be comfortable with public speaking
  • Desire to be in the position for 2+ years

  • Excellent communication skills, both one – on – one and in front of larger groups
  • Has an understanding of North Central community, including the spiritual atmosphere, campus living, organizations and ministries, majors and curriculum and the opportunities of the Twin Cities area
  • Thoroughly understands the admissions strategy and procedures
  • Knowledgeable about university policies and processes
  • Ability to be self-motivated and self-managed to meet deadlines
  • Ability to lead and direct various projects
  • Possesses effective leadership and managerial skills to oversee student volunteers
  • Work involves collaboration with a team of other admissions personnel in an office setting
  • Requires working independently in a fast-paced environment and adapting to a variety of roles with multiple demands

Working conditions and frequency

Environmental Conditions

  • Position involves exposure to repetitive motion of the fingers, hands, and wrists on a daily basis.
  • Position involves long periods of time walking (tours), standing (presenting), and sitting (desk work)
  • Work environment involves working in an urban, Christ-centered community

Equipment and Tools

  • Use of a PC, photocopier, fax machine, and telephone—approximately 70% of the time
  • Ability to lift up to 30 lbs
