Position Purpose
The Access Services & Administrative Specialist supports the mission of North Central University by ensuring efficient, well-organized daily library operations, supervising student library assistants, and providing outstanding patron services to students, faculty, and staff. This position plays a vital role in maintaining an orderly, welcoming, and resource-rich environment, while serving as a liaison between the library team, campus departments, and the university community. The Lead Library Assistant fosters a culture of hospitality, administrative excellence, and service within a Christ-centered learning space.
Responsibilities include but are not limited to:
Supervision of Library Assistants – 50%
- Interview, select, hire, and facilitate the onboarding of all library assistants
- Coordinate and manage scheduling of library assistants
- Train library assistants in circulation functions, physical processing, general library operations, and excellent patron services
- Assign daily tasks and project work to library assistants
- Monitor and evaluate job performance of library assistants
- Serve as liaison between library assistants and other campus departments (Financial Aid, Payroll, etc.)
- Monitor and maintain the library student worker budget to ensure fiscal balance
- Send regular communications to student staff, including weekly emails with announcements, reminders, and training materials
Administrative Support – 30%
- Submit and manage housekeeping, facilities management, CAMS, and IT service tickets
- Notify Security of changes to library hours and ensure holiday hours are posted and communicated
- Create promotional materials (posters, digital graphics) for library programming and submit announcements to Skyline and Gather on behalf of library staff
- Track and replenish office, book processing, and coffee supplies by acquiring items through Housekeeping and CAMS when available, and notifying the Director of Library Services when additional purchases are needed
- Manage the library mail, email inbox, and voicemail
- Share management of the library’s Instagram account, including content creation and scheduling posts
- Other administrative duties as assigned by the Director of Library Services
Circulation & Interlibrary Loan Operations – 20%
- Oversee interlibrary loan processes, including consortial relationships and training of the ILL team
- Assist with all aspects of circulation services
- Conduct reference interviews with patrons to provide accurate and helpful assistance in locating library resources (as needed)
- Staff the help desk as assigned
Job Qualifications
Minimum Education and experience
- Bachelor’s degree and demonstrated experience in libraries and in managing personnel.
- Preference will be given to candidates will be in pursuit of a Master of Library and Information Science degree.
Prefered Qualifications
Experience with the following products:
- OCLC cataloging utilities, OCLC WorldShare, OCLC Service Configuration, WorldCat Discovery
- Discovery tools such as EBSCO products, etc.
Knowledge, skills, and abilities
- Proficiency with library-based information technology services and systems
- Familiarity with a wide range of computer applications, including Microsoft Office (Word, Excel, PowerPoint), OCLC modules, reference databases, and other online tools
- Ability to operate and train others in the use of technological resources, including photocopiers, audiovisual equipment, and related devices
- Exceptionally organizational skills and ability to manage multiple projects concurrently
- Exceptional attention to detail in administrative processes, record-keeping, and scheduling
- Demonstrated efficiency in task prioritization, time management, and follow-through from project initiation to completion
- Ability to communicate clearly, professionally, and promptly in both written and verbal forms to ensure shared understanding
- Proactive problem-solving skills and ability to handle multiple interruptions gracefully
- Capacity to manage fiscal responsibilities, including budget monitoring and resource tracking
- Collaborative spirit with the ability to foster positive relationships with student workers, library staff, and campus departments
- Ability to maneuver narrow spaces between shelves and steps leading into the building and offices
- Ability to move up to 50 pounds and to push/pull book carts

Environmental Conditions
- Position involves exposure to repetitive motion of the fingers, hands, and wrists on a daily basis.
- Position involves long periods of time walking (tours), standing (presenting), and sitting (desk work)
- Work environment involves working in an urban, Christ-centered community
Equipment and Tools
- Use of a PC, photocopier, fax machine, and telephone—approximately 70% of the time
- Ability to lift up to 30 lbs
