Full-time | Hourly/non-exempt (40 hours per week)

Position Purpose

The Administrative Assistant for the College of Arts & Sciences is responsible for supporting and assisting the Dean, as well as faculty within the schools of Social Behavioral Sciences and Communication Arts, with various administrative needs to ensure completion of tasks and departmental efficiency.

Key Duties and Responsibilities

(50%) Provide administrative support to the dean and department chair(s) and other faculty in an accurate and timely manner

  • Schedule and manage the dean and faculty calendars
  • Communicate with faculty on behalf of dean and university
  • Communicate with students on behalf of dean or department
  • Prepare and collect data for dean and department chairs
  • Coordinate honor society registration and upkeep
  • Prepare class attendance rosters for each semester
  • Assist in department event planning
  • Project organization and follow-up
  • Take minutes at meetings as needed
  • Proctor exams when professors are unavailable
  • Cancel classes and give directions to students if the professor is unable to attend
  • Coordinate with student assistants on CAS social media accounts
  • Provide assistance in the procurement and placement of biology lab materials
  • Support the Communications department with partnerships (such as IDH) and technology coordination

(15%) Provide support for the social work program accreditation process

(10%) Provide administrative support for the faculty development committee

  • Assist with Teaching Commons (set-up, hand-outs, take attendance, etc.)
  • Take minutes for committee meetings
  • Support the Director of Instructional Development with administrative needs

(10%) Perform general clerical functions in an accurate and timely manner

  • Maintain office equipment including office, printer(s), computer(s), etc.
  • Schedule rooms and coordinate facility reservations
  • Sort and route department mail
  • Order/maintain needed office and course supplies
  • Scan/copy and file documents

(10%) Maintain an accurate budget for department(s)

  • Direct and coordinate all purchasing
  • Prepare check requests and requisition forms
  • Manage all receiving and invoices
  • Maintain the accuracy of several large budgets

(5%) Guide departmental work-study employee(s)

  • Hiring, scheduling, and guiding work-study employees per Financial Aid requirements
  • Maintain accurate records of work-study employees for Financial Aid and Payroll purposes, including approval of weekly time cards

Job Qualifications: 

Minimum education and experience

The qualified candidate for this position must have a 2 or more years of college education as well as a minimum of two years administrative/office support experience.

Knowledge, Skills and Abilities

Ability to communicate and follow-up verbally and in writing to ensure shared understanding of information.

Ability to prioritize and organize incoming tasks.

Ability to maintain composure to deal with faculty and students professionally and effectively.

Ability to manage time efficiently.

Ability to plan and execute events.

Ability to keyboard with accuracy at a speed of 50 wpm in order to complete work in a timely manner.

Ability to lift and move up to 50 pounds to manage office supplies and storage material.

Ability to develop and maintain professional relationships and boundaries.

Ability to interact with and respond to many different personality types.

Ability to delegate and supervise to fully utilize human resources.

Knowledge and understanding of various computer programs, including spreadsheet, word processing, publisher, and database.

Knowledge of effective presentation methods to organize and present material.

Knowledge of basic budget management to ensure accurate financial management.

Working Conditions and Frequency:

Environmental Conditions:

Exposure to the repetitive use of the fingers, hands and wrists on a daily basis.

Work environment involves working in an urban, Christ-centered university.

Equipment and Tools:

Use of PC, ten-key calculator or telephone approximately 85% of the time.
