Position Purpose:  The Executive Assistant to the Vice President of Business & Operations, and Vice President of Advancement is responsible to provide a wide range of administrative and office support activities and aide the VP in facilitating the efficient operation and fundraising activities of the university.  

Responsibilities Include (but not limited to):

  • Maintain the VP’s appoint schedule by planning and scheduling business meetings, conference, teleconference, as well as coordinating and booking travel arrangements. 
  • Answers phone calls, emails, and guests in a polite and professional manner, as well as filters and prioritizes visits or phone calls and communicates on behalf of the VP. 
  • Compile, review, and edit reports. 
  • Complete a broad variety of administrative tasks that include composing and preparing correspondence, arranging detailed travel plans, itineraries and agendas and compiling documents for meetings. 
  • Collaborate or lead preparations for on off-site and onsite meetings and events
  • Maintain comprehensive and accurate records and minutes
  • Perform minor accounting duties
  • Interact with multiple campus offices, and external professionals and entities
  • Manages sensitive matters and information with a high level of confidentiality and discretion.
  • Primary contact for the VP, greets and establishes rapport with employees, donors, visitor, and all other guests of the university or department.  
  • Large Event Project Management
  • Assist in Managing Timecards. 
  • Support onboarding process for new hires within the department. 

Job Qualifications:

Minimum Education and Experience:

At least 3-5 years of progressive administrative experience. Bachelor degree preferred.

Knowledge, Skills and Abilities:

Essential skills include strong attention to detail, planning, problem-solving, and organizational skills; ability to communicate clearly both verbally and in writing; ability to hand highly sensitive and confidential information in a professional manner; maintain composure in dealing with all university constituencies; advanced skills in technological resources including computer programs and applications (Word, Excel, Outlook, and PowerPoint are especially important); basic knowledge of budget management; independent and motivated individual. 

Strong attention to detail as well as planning and organizational skills. 

Flexible in taking on new tasks and willing to help others as needed.

Ability to communicate and follow-up verbally and in writing to ensure shared understanding of information both internally and external public.

Ability to maintain composure with internal and external constituents professionally and effectively.

Ability to problem solve, anticipate needs, and make appropriate independent decisions.

Ability to perform basic mathematical computations and problem solving.

Knowledge of Internet and on-line resources to conduct research and make travel arrangements.

Knowledge of effective presentation methods to organize and present material.

Knowledge of basic budget management to ensure accurate financial management.

Working Conditions and Frequency:

Environmental Conditions

Primarily onsite office role, with flexibility for remote work. 

Position involves exposure to repetitive motion of the fingers, hands and wrists daily.

Work environment involves working in an urban, Christ-centered university.

Keyboarding skills of 50 WPM in order to complete work in a timely and accurate manner.

Ability to lift and move up to 20 pounds to manage office supplies and storage material.
